Retail & Claim Administrator

Based in Dunstable, Bedfordshire - Permanent Position
An exciting opportunity has arisen in our central team for an experienced vehicle industry Retail & Claims Administrator to carry out the Company's invoicing and administration.

Job Summary:

We require the following skills to assist in effectively and efficiently managing the Company’s Retail Administration and Claim Systems


Main Tasks / Responsibilities / Authorities:

  • To carry out the Groups’ invoicing and administration systems efficiently across Retail, Warranty & Contract.

  • To ensure all invoice queries are quickly and effectively resolved

  • Create pro forma’s from work instruction to obtain order numbers before invoicing

  • To advise Depot Manager of any cost rejection so that appropriate action can be taken

  • To ensure all Technicians’ paperwork is completed accurately to maximise profitability

  • To understand relevant systems relating to the Service Department including changes and on-going developments. Warranty / National contract procedures

  • To liaise with Parts department regarding materials to be discarded.

  • Effectively monitor the Work in Progress (WIP) reports to ensure Workshop instructions can be cleared as soon as possible.

  • Achieve budgeted labour rates and invoicing efficiency

  • To prepare and submit Warranty / Contract Maintenance claims using DMS / RT / UCHP Online systems.

  • To prepare and submit both Warranty / Contract maintenance claims within the manufactures guidelines.

  • To instigate and integrate Claims Register using the current computerised system.

  • To keep up to date with all aspects of changes within Warranty and to maintain the Policy and Procedure file

Required knowledge & experience:

  • Warranty administration knowledge

  • Technical components knowledge

  • Knowledge of Vehicle manufacturers book times

  • Vehicle Retail Administration Knowledge

  • Warranty administration knowledge

  • Technical components knowledge

  • Vehicle Dealership experience

  • Excellent customer service and telephone skills
