Service Representative - Contract Administration


The Service Representative - Contract Administration is responsible for producing the documentation of active leasing agreements and loans; invoicing, contracts termination, changes of contracts in the contract management system. This person takes all customer queries and requests and resolves them or passes them to the responsible department. The Service Representative - Contract Administration is responsible for complying with defined service level standards.

  • Timely answering to all customers’ requests regarding pending contracts
  • Coordinating of contracts modifications process:
  • Preparing documentation (annexes, amendments and etc.) to leasing contracts, connected with prolongations, renegotiations, suspensions, insurance changes
  • Making changes in customers’ payment schedules
  • Sending new payments schedule to customer
  • Preparing authorization to use vehicle
  • Logging all customers’ requests (phone calls, e-mails, post)
  • Administration and monitoring all open requests
  • Sending the current list of customers’ liabilities
  • Invoicing:
  • Recalculations and issuing monthly instalments
  • Insurance invoices
  • Penalty interests
  • Road tax
  • Administration fees
  • Pro - forma invoices
  • Credit notes
  • Sending duplicates of documents and invoices to customer
  • Coordinating early termination process (preparing calculation, monitoring customer payments)
  • Preparing sales documents for early terminated contracts
  • Making changes to the current statuses of existing contracts
  • Maintaining customer records by updating account information
  • Preparing product or service reports by collecting and analyzing customer information
  • Cooperates with all relative departments within Volvo group
  • Effectively supports the implementation of new processes
  • Performs other tasks assigned by supervisor
  • Degree in economic education or High school graduation
  • Minimum three years of experience working within accounting department
  • Good understanding of IFRS/IAS and local gap principles
  • Excellent written and verbal communication skills
  • Ability to work as part of a team while accomplishing departmental and company goals
  • Ability to prioritize work and organize the workload
  • High level of accuracy and reliability
  • Computer literacy and phone skills required
  • Very good English
